- 10/16/23 Coming soon: Updated Pcard Limit form to include authorization for state-funded purchase over $1000
Very soon a new version of the Payment Card Limit Change Request form will be posted on the Administrative Forms page. The new form will be called Payment Card Limit Change Pre-Approval Form. The form will allow card holders to obtain President/Vice President/Provost approval for state funded purchases over $1000, or a Pcard limit change, or both (as needed). The form routing has been updated as well. As always, please direct any questions to pcard@wwu.edu
- 10/2/23 Pcard Single Amount Limits to Return to $3000As most of you are aware, back in March, the President shared a budget message that outlined some fiscal challenges. One of the short term strategies established to address those challenges was to limit expenditures against state funding.¹ Vice President/Provost approval was/is required on all state operating funds for purchases above $1,000. To assist with that, we set all pcards to a single transaction limit of $1,000.While Vice President/Provost approval is still required on all state operating funds for purchases above $1,000, we have decided to return pcards to a $3,000 single transaction limit.² Instead of restricting purchases up front, we will now be monitoring all pcard purchases on a monthly basis.
All transactions against state funds in excess of $1,000 will be reported to the appropriate Vice President/Provost and Financial Manager monthly.
The update will be made to pcards within the PaymentNet system by Friday, October 6. No action is required on your part for the change. PaymentNet access and pcard functionality will remain normal.
Please continue to obtain Vice President/Provost approval to make purchases greater than $1,000 against state funds.
Failure to do so will be highlighted during the monthly review and could result in your card limit being reduced again.
