Important Note: This overview of the Post-Tenure Review process is supplemental and not intended to conflict with the requirements of CBA Section 7.8.
Introduction
Western conducts its Post-Tenure Review (PTR) Process in Interfolio.
Eligibility
Section 7.8.1 of the Collective Bargaining Agreement (CBA) states, “Tenured faculty shall be reviewed every five years starting with their most recent promotion…. In cases of written notice of a faculty member’s intention to retire, the faculty member may choose not to be reviewed in the last year of service.”
If the faculty member’s last review resulted in a successful promotion, the current period under review will be September 16 of the academic year of the submission of the previous promotion packet to January 14 of the current academic year. If the faculty member’s last review was a post-tenure review, the current period under review will be January 15 of the academic year of the submission of the previous PTR packet to January 14 of the current academic year.
If a tenured associate professor plans to go up for Promotion to Professor and PTR simultaneously, they should click here and follow the instructions for the Promotion to Professor Process. CBA Section 7.8.11 states, “When a tenured faculty member presents his/her case for promotion during a year he/she is scheduled for Post-Tenure Review, a successful promotion evaluation fulfills the PTR evaluation requirement and will be accompanied by the salary increases included for promotion and for successful PTR.” However, a tenured faculty member who fails their Promotion to Professor Review must wait until the next academic year to undergo a subsequent PTR.
Post-Tenure Review (PTR) Timeline
Review candidates should consult their department and/or college regarding the deadlines for the steps specified below.
Initiation and Submission of Review Packet
- Faculty Relations initiates review packet in Interfolio on or before September 16. Review Candidate receives email notification.
- Review Candidate completes and submits review packet. Tenured Faculty in Department receive email notification.
Department Review
- Tenured Faculty in Department review materials and email individual written assessments (or peer evaluations) to Department Chair.
- Department Chair collects all individual written assessments and moves review packet forward.
Department Chair Review
- Department Chair:
- Reviews materials.
- Uploads all individual written assessments (or peer evaluations) and department chair letter.
- Completes department action record form inside of Interfolio.
- Sets case status.
- Shares department chair letter with Review Candidate inside of Interfolio, giving them 5 working days to respond to errors of fact. Review Candidate receives an email notification.
- Review Candidate has 5 working days to respond to errors of fact. Submits optional response in Interfolio.
- Department Chair moves review packet forward. College Committee receives email notification.
College Committee Review
- College Committee:
- Review materials.
- Uploads college committee letter.
- Completes college action record form inside of Interfolio.
- Updates case status.
- Shares college committee letter with Review Candidate. Review Candidate receives email notification.
- Moves review packet forward. College Dean receives email notification.
College Dean Review
- College Dean:
- Reviews materials.
- Uploads college dean letter.
- Shares college dean letter with review candidate inside of Interfolio.
- Closes review packet, setting a final disposition.
- Faculty Relations sends copy of college dean letter to Department Chair and adds a copy to Review Candidate’s faculty file.
