Important Note: This overview of the Tenure and Promotion Review Process is supplemental and not intended to conflict with the requirements of CBA Section 7.7.
Introduction
Western conducts its Tenure and Promotion (T&P) and Promotion to Full Professor reviews in Interfolio.
Eligibility
Section 7.7.1.1 of the Collective Bargaining Agreement (CBA) states, “Faculty shall be evaluated for tenure not later than the sixth year of service,” unless the President and Provost agree in writing to extend that period under special circumstances. Section 7.7.1.2 states, “Faculty may apply for tenure and promotion prior to the sixth year of their probationary period if they have established a record of accomplishment that meets departmental standards for teaching, scholarship, and service, based upon their annual probationary reviews. The process for Promotion to Full Professor is the same as the process for Tenure and Promotion. Please see CBA Section 7.7.4 for additional information regarding Promotion to Full Professor eligibility.
Candidates for promotion to full professor or an early tenure and promotion must notify the administration of their intent to be reviewed prior to departmental review deadlines (preferably in the spring prior to the fall in which they intend to be reviewed). They can do so using the form provided below.

Request a tenure and promotion OR promotion to full professor review packet by October 1. Only TT/TN faculty are eligible to apply.
T&P/Promotion to Full Professor Timeline
Review candidates should consult their department and/or college regarding the deadlines for the steps specified below.
Initiation and Submission of Review Packet
- Review Candidate requests a review packet.
- Faculty Relations initiates review packet in Interfolio on or before June 16. Review Candidate receives email notification.
- Review Candidate completes and submits review packet. Tenured Faculty in Department receive email notification.
Department Review
- Tenured Faculty in Department review materials and email individual written assessments (or peer evaluations) to Department Chair along with a vote for or against tenure and/or promotion.
- Department Chair collects all individual written assessments and moves review packet forward.
Department Chair Review
- Department Chair:
- Reviews materials.
- Uploads all department individual written assessments (or peer evaluations) and department chair letter.
- Completes department action record form inside of Interfolio.
- Sets case status.
- Shares department chair letter with Review Candidate, giving them 5 working days to respond to errors of fact. Review Candidate receives an email notification.
- Review Candidate has 5 working days to respond to errors of fact. Submits optional response in Interfolio.
- Department Chair moves review packet forward. College Committee receives email notification.
College Committee Review
- College Committee:
- Reviews materials.
- Uploads college committee letter.
- Completes college action record form inside of Interfolio.
- Updates case status.
- Shares college committee letter with Review Candidate. Review Candidate receives email notification.
- Moves review packet forward. College Dean receives email notification.
College Dean Review
- College Dean:
- Reviews materials.
- Uploads college dean letter.
- Updates case status.
- Shares college dean letter with Review Candidate inside of Interfolio, giving them 5 working days to respond to errors of fact. Review Candidate receives email notification.
- Review Candidate has 5 working days to respond to errors of fact. Submits optional response in Interfolio.
- College Dean moves review packet forward by December 15. Provost and President receive email notifications.
Provost and President Review
- Provost and President:
- Review materials.
- Upload Provost letter (written on behalf of the President and Provost).
- Share Provost letter with Review Candidate.
- Close review packet by February 1, setting final disposition.
- Faculty Relations sends copy of Provost letter to College Dean and Department Chair and adds a copy to Review Candidate’s faculty file.
