Request to Recruit
- Department initiates Request to Recruit in PageUp, attaches evaluation matrix (selecting the “Evaluation Matrix” document category), and approves and routes form using the “TT Faculty” or “TT Faculty – Extended Ed” approval process. Click here for a set of detailed instructions.
- Department Chair approves form.
- Civil Rights and Title IX Compliance approves form.
- College Dean approves form.
- Director of Academic Budget and Administration approves form.
- Provost approves form.
- Recruit.HR@wwu.edu approves form.
- Search Chair, Director/Department Chair, and Search Coordinator/Originator receive email that Request to Recruit has been approved. Each of these roles are populated at the bottom of the Request to Recruit form.
Applicant Review
- Search Committee uses evaluation matrix to review applicants.
- Search Committee conduct phone screenings if necessary.
- Search Coordinator and/or Search Chair updates application statuses. All statuses begin as “New.” Available status updates include:
- “Application Incomplete,” which prompts search coordinator or search chair to send an email to candidate.
- “Search Committee Review,” which draws the search committee’s attention to a select group of pre-vetted applications for review.
- “Considered – Not Selected for Position,” which prompts search coordinator or search chair to provide a disposition for non-selection.
- “Request to Interview,” which is the first step in requesting to interview a set of applicants.
Request to Interview
- Department Chair has conversations with dean about the number of candidates to be invited for on campus interviews and other details.
- Search Coordinator and/or Search Chair bulk moves and sends the applications with statuses of “Request to Interview.” Click here for a set of detailed instructions.
- Civil Rights and Title IX Compliance approves form.
- Search Chair or Search Coordinator receives email that request to interview has been approved and forwards to dean’s office according to college instructions.
- Department works with Provost Office (Melinda.Assink@wwu.edu) to schedule 15-minute meetings between candidates and the Provost (or another delegate). Department also arranges meetings between its candidates and other university faculty and staff including a union representative.
- Search Committee conducts interviews
- Search Coordinator and/or Search Chair updates application statuses and adds dispositions
- “Finalist – Not Selected,” which prompts search coordinator or search chair to provide a disposition for non-selection
- “Request to Offer,” which is the first step in request to make offer
Request to Make Offer
- Department initiates Request to Make Offer in PageUp (without entering Department Proposed Salary or attaching the letter of offer and startup grid), selects a Supervisor or Onboarding Coordinator, selects an approval process, completes approval workflow, and approves form.
- College approves form.
- HR Disclosure approves form after completing required sexual misconduct background check. This can take up to 5 business days, as HR needs to allow institutions a reasonable amount of time to review their policies and records provide a response.
- Civil Rights and Title IX Compliance approves form.
- Department is authorized to proceed to verbal offer following approvals from HR Disclosure and CRTC. Department communicates terms of recommended offer to preferred candidate. Following verbal offer, enters Department Proposed Salary, attaches letter of offer and startup grid to Request to Make Offer in PageUp, and approves form.
- College approves form.
- Provost Office attaches Department/Unit Evaluation Plan to request to make offer in PageUp and approves form.
- Request to Make Offer Originator receives email that offer has been approved and sends offer to preferred candidate in PageUp.
Candidate Acceptance and Onboarding
- New Hire Candidate accepts offer through PageUp. New Hire Candidate arranges for official transcripts to be sent to the Provost Office at least two weeks before the start date of the job.
- Search Coordinator/Originator and Supervisor or Onboarding Coordinator receive email that offer has been accepted and forward email to dean’s office according to college instructions.
- Supervisor or Onboarding Coordinator assigns additional department or job-specific onboarding tasks to new hire through PageUp’s Onboarding portal. Click here for a detailed set of instructions.
- Department or College initiates personnel action form for relocation compensation.
- Provost Office ensures that the transcripts are received on time.
