Day-of Volunteers!

WWU QueerCon is an annual student-run community event, and this year will be our biggest one to date! We need volunteers to help staff our event and keep our panels and shows running smoothly, as well as helping the Zoom rooms for hybrid presentations to work smoothy. We also need folks interested in set-up and take-down in the physical space. The more folks we have, the easier the work on everybody! Anyone can participate: You do not need to be a WWU student to volunteer!

Volunteers are asked to commit to at least one shift of 2.5 – 3 hours to support the event the day-of, and get free admission to QueerCon! We ask that volunteers sign up before April 12 so we have time to set up our shifts and ensure everything has staffing coverage. We are still accepting volunteer roles!

About the roles

General Volunteer Staff (variable / flexible tasks)

Interested in being a flexible staff member to fill in where needed? General Volunteer Staff work in ~3 hour shifts to help support check-in and ticketing tables, panel and game rooms, or to fill in for an unexpected vacancy in the volunteer roles above.

Set-Up and Take-Down Staff (role requires physical mobility)

Set-up and Take-down Staff are primarily responsible for helping to set up and move tables and chairs, posting signage on walls and doors, and assisting set-up and room reconfiguration in the main convention hall and panel rooms, and for stocking staff break room and quiet room supplies. Staff roles include 2 – 2.5 hour shifts, with options to work mornings before the convention opens at noon, after the main convention hall closes at 5, or after the 18+ after-hours events conclude at 8 pm.

Panel and Presentation Moderators (Hybrid & In-person responsibilities)

Panel & presentation mods are responsible for keeping events in the panel rooms on schedule and introducing the names of panelists and their presentations. For panels and Q&A, moderators may also organize attendee questions for the presenter or panelists. For hybrid events, a second moderator will be tasked with moderating the Zoom meetings for panels, and will work together with other room mods to keep the hybrid event running safely and smoothly.

Quiet Room Moderator

Quiet Room Moderators work in 3-hour shifts and are responsible for maintaining the room as an environment that is quiet and not overstimulating. Ensure that guests in the Quiet Room are not raising their voices, playing loud sounds or music, or running around. Quiet Room mods may also distribute fidget toys. Mods must also help maintain a safe environment by reporting any harassment and discrimination.

Staff Break Room Moderator

Staff Break Room Moderators work in 3-hour shifts and are responsible for making sure only QueerCon staff and volunteers, security, vendors and verified tablers, panelists, event performers, and game masters enter the break room, and keep food and beverages inside the break room.

Game Room Moderator

Game Room Moderators work in time blocks of 2 – 3 hours and are responsible for helping run our table-top and board game rooms. Mods must also help maintain a safe environment by reporting any harassment and discrimination.

18+ Wing Moderator

18+ Wing moderators are responsible for verifying the ages of guests before they enter the 18+ Wing of the convention. They work in blocks of 2-3 hours. The 18+ Wing of the convention can be, but is not limited to, content that is explicit, sexual, excessively gorey, and potentially triggering for some individuals.

Discord Moderator (day-of)

Discord Moderators are responsible for keeping panel chats and the Discord clean of inappropriate behaviour and language as well as reporting harassment and discrimination. Discord moderators post Zoom links to any hybrid panels and talks happening, and also field questions from exhibitors and presenters posted in the Discord during the event, and connect with main event planning staff if necessary.

Volunteers would be asked to work 2-3-hour long shifts. We will arrange with you to work one or two shift during the day.

Volunteers who are assigned to one or more volunteer staff roles by WWU QueerCon staff will receive free admission to the event! Since we need to create a volunteer roster and schedule, if you are considering volunteering for our event for specific roles, we ask that you complete this volunteer registration form by 11:59 PM on Friday, March 08 to get a free T-shirt. The final day to register as a volunteer is Friday, April 05 but shirts are not guaranteed.

Shifts are 2 – 3 hours long, depending on role. How many shifts would you be willing to work at QueerCon?
Expressing interest in multiple volunteer positions will not automatically commit you to all roles! When building the staffing schedule, we will prioritize your top choices while ensuring full staffing coverage of our event.
If you are flexible in the roles you would be willing to take, please include them here! We will still aim to prioritize positions you indicated you were most interested in. We will check in with you well before assigning a secondary choice role.
