You can register to host a talk solo, co-host a full panel, or run a Q&A, workshop, or special event at QueerCon 2025 for FREE! For QueerCon 2025, these presentations can be given in-person or virtually/hybrid!

Policies for paneling, performing, and hosting special events at QueerCon
Event hours:
We will have panels, talks, and special events primarily during the Main Convention Hall hours of QueerCon, starting around 12:30 pm and going until 5:00 pm, happening simultaneously in several rooms in AW. There will be a limited number of after-hours special events accepted between the hours of 5:00 – 8:00 pm, only for guests 18 years of age and up.
Tickets for presenters and performers:
Each presenter or performer gets a FREE ticket to WWU QueerCon. If you will need additional team member(s) for performance tech crew, mobility assistance, etc., please let us know in the comments so that we can follow up with you on details and send you the proper badge registration forms.
Panel Size:
For panels, we ask that you limit the number of panelists to 5 people. If you require more than 5 panelists, please make a note of that in the comments section at the end of this form, and QueerCon staff will contact you with additional questions.
Duration of time slots available:
Panels, talks, and performances are available in 20, 50, and 80-minute slots. There are 10-minute breaks in-between each session for getting things set up for the next slot and audience entry / exit (this time is not counted in the 20, 50, or 80-minute time estimate). Make sure that the time you reserve includes any time intended for Q&A.
Please let us know in the comments if you need a different time allotment, will need more than 10 minutes to set up and/or take down, or if you have you a request to present back-to-back with another speaker on complementary themes.
Time preferences and room special requests:
Submit your registration by the Priority Deadline to be able to specify general time of day you would like to present. For registrations received after that, we will do our best to find a time for you in the schedule that meets your needs, but we cannot guarantee presentation time.
All presentation and performance rooms will have a projector, whiteboard, computer, laptop connectivity, and an event volunteer to help with the tech. Please let us know about accommodations and any presentation / event room needs. For example, if your event is a small workshop that requires the reservation of a classroom with tables so that your participants can draw or write comfortably, or if you need classroom-style chairs that can be rearranged in the room, let us know that in the comments. You may also request that your presentation be in a room that asks attendees to wear masks (we will supply extra masks).
Can I register to host a talk / panel / special event even though it is late?
The Final Registration Deadline is Friday, February 28, 2025. Late registrations are eligible to be placed on the waitlist provided they are received before March 31. Space and availability permitting, we will make every effort to find a space for you on the schedule. Registrations submitted after March 31 will not be accepted.
How does QueerCon use my contact information?
WWU QueerCon representatives will send follow-up questions and information as well as requests to confirm the personnel attending in order to register their official badges. This could include getting your final talk/panel guest roster, or a list of performance tech crew, or close-proximity parking, as we approach the day of the event.
Please ensure you provide us with the correct primary contact email(s) that your organization will check for updates so that we can reach you in a timely manner. You can provide us with more than one contact email if you use more than one. If we are unable to reach you repeatedly through your contact email(s), your QueerCon time slot may risk being cancelled and offered to those on the waitlist.
WWU QueerCon aims to keep your information secure and will not disclose your name or personal contact information you provide to us to a third party. We will only publish profile information online that you place in the form fields that state, “Will be published to our website”. You can also contact us at any time at wwuqueercon@gmail.com to have the text that is displayed on our webpage corrected at any time if needed, or if you discover an error or any information has changed.
