If you are an independent creator or non-profit organization, you can register to host an exhibitor table at QueerCon 2025 for FREE!

    • 1 free ticket to staff your table (additional table staff must have admission tickets paid online)
    • Waitlist cutoff – no additional table registrations considered after Monday, March 31, 2025.

Policies for Independent Creator and Non-profit Tabling at QueerCon

Tabling hours for the Main Convention Halls: 

We ask that you have your table open to the public for the entirety of the Main Convention Hall hours of QueerCon, from 12:00 noon until 5:00 pm, and have at least 1 person present at the table for as long as it is open.

Table allotment and share/proximity special requests:

Each space is provided a 6′ wide table and two chairs. We can accommodate requests to table next to each other and requests to share tables as long as both tabling groups mutually request each other and the request is received by the Priority Deadline (Feb 07). We will try to accommodate proximity and share requests received after the Priority Deadline, but there is no guarantee.

Note that tables and groups categorized all or partly as PG-13 (darker and more mature themes, but not age-restricted) or 18+ (age-restricted mature themes and NSFW content) will be placed on the top (4th) floor of AW.

Complimentary tickets for club tabling staff:

Registrations accepted by the Final Registration Deadline (Friday, Feb 28, 2025) receive one FREE ticket for the person staffing the table; two FREE tickets if received by the Priority Deadline (Feb 07); and three FREE tickets if received by the Early Bird Deadline (Jan 24). If you need additional tickets for staff beyond this amount, the staff ticket will need to be purchased before the convention.

Can I register to table even though it is late?

The Final Registration Deadline is Friday, Feb 28, 2025. Late registrations received before March 31 are eligible for the waitlist, space and availability permitting. Registrations for tables submitted after March 31 will not be accepted.

How does QueerCon use my contact information?

WWU QueerCon representatives will send follow-up questions and information as well as requests for official table staff registration information to your email address as we approach the day of the event.

Please ensure you provide us with the correct primary contact email(s) that your organization will check for updates, so that we can reach you in a timely manner. You can provide us with more than one contact email if you use more than one.

If we are unable to reach you repeatedly through your contact email(s), your QueerCon table registration may risk being cancelled.

WWU QueerCon aims to keep your information secure and will not disclose you name or personal contact information you provide to us to a third party. We will only publish the club profile information online that you place in the form fields that state, “Will be published to our website”. You can also contact us at any time at wwuqueercon@gmail.com to have the text that is displayed on our webpage corrected at any time if needed, or if you discover an error or any information has changed.

We recommend a short blurb of 2 – 4 sentences that describes what product, business, or service you will be presenting, your mission, or a little bit about you, etc. You can also include your pronouns here! This will be published on our website EXACTLY as-given, so please check for typos! Very long blurbs will be put under a read-more.

We recommend using a square with dimensions of at least 300×300 pixels. Very tall or wide images may be cropped. JPG, JPEG, PNG, and PDF file types are supported. If nothing is submitted, default QueerCon logo will be used.
This will NOT be shared anywhere. Only for WWU QueerCon team to review for appropriate content and matching age rating. Past table pics appreciated! If unable to use a shareable drive or posts, please email the QueerCon team at wwuqueercon@gmail.com with a few example pictures, and write “Via email” here.
Addressing concerns of previous 18+ rated tablers: the NSFW section curtain will be staying, as this is an all-ages event. The curtain is NOT to shame NSFW art, but rather provide a section where you can proudly display your art without worrying about underage prying eyes. We totally understand that the curtain seemed to restrict foot traffic and caused people to feel ashamed, and we absolutely don’t want that! We will have better signs this upcoming event to better mark the area, and we’d absolutely accept help making the curtain more appealing, if you’d like to make any SFW but eye-catching art / signage to display on the curtain! You can sell items with reclaimed slurs on them, but please do put them in a separate / hidden section as to not trigger anyone with trauma / discomfort around those words. Remember that words have power, and this is a safe space for all.
Please list content warnings for any content that will be NSFW, age-restricted, or could otherwise invoke trauma. This can include, but is not limited to: body horror and violence, discriminatory language, mentions of abuse, content with sexual themes and/or nudity. Note that misrepresenting your content and/or neglecting to fully disclose NSFW or age-restricted material you display at your table may result in being banned from this and future events. If there’s a genuine mistake, please politely discuss with our team.
Will your table have instances of body horror, violence, discriminatory language, mentions of abuse, etc.? Please list content warnings for material that would decidedly make your content NOT all-ages. This can include but is not limited to material that could invoke trauma, sexual themes, nudity. Failure to fully disclose NSFW or age-restricted content for your table may result in cancellation of your table and/or being banned from this and future events. If there’s a genuine mistake, please politely discuss with our team.
Please mark here if you would be willing to share a table with another shop / organization:
Sharing a table allows for more individuals to get into the con! You will each have half of the table by default. This is great if you’re new to tabling and don’t have many products or a proper display yet. We would connect you with your co-tabler ahead of time so that any potential conflicts can be resolved before the event.
Please ask the other party to list you here as well for near-guaranteed table sharing with them! You MUST have the same age-rating.
Will you and all individuals tabling with you be age 18 or older as of the date of the Convention, April 25, 2026?
By submitting this form, you are confirming that the information in this form is accurately provided to the best of your ability, and that you will follow QueerCon event policies including Health and Safety policies (link). You are highly encouraged to wear a mask while indoors tabling at the event.
Want to table next to or nearby another group? Need a table area with extra space? Disability accommodations? Any other information we should know? Requests to table near another creator must be mutually made independently by both registering groups, and received by the Priority Registration Deadline, in order to be accepted.

Getting errors?  The first things to check would be if you’ve omitted any required file uploads / fields, and then try using a desktop browser, not mobile.
